Pay-Per-Export vs Subscription Caption Tools: Which Costs Less?

Compare pay-per-export and subscription caption tools with a simple break-even formula, the hidden costs to check, and which model suits how often you post.

If you export captioned videos only occasionally, a pay-per-export caption tool usually costs less than a monthly subscription, because you pay nothing in months you don't post. If you export many videos every week, a subscription can work out cheaper per video. The break-even point is simple arithmetic: divide the monthly subscription price by the per-export price.

This guide shows how to work out which model suits you, what else to compare besides price, and where the hidden costs are.

The break-even calculation

Break-even exports per month = subscription price ÷ price per export.

Example with hypothetical numbers: if a subscription costs $20 per month and a pay-per-export tool costs $3 per export, the break-even is about 6.7 exports per month.

  • Fewer than about 7 exports a month → pay-per-export costs less.
  • More than about 7 → the subscription may cost less, if it actually includes everything you need.

Use the real, current prices of the tools you are comparing, including tax and any currency conversion fees. Prices change, and many subscriptions have different tiers with different limits.

What to compare besides headline price

QuestionWhy it matters
Is there a watermark on cheaper tiers?A watermark can make the export unusable for brand content.
Are there export limits or minute caps?"Unlimited" plans may cap minutes or resolution.
What resolution and frame rate?Check vertical 1080×1920 and that the source frame rate is kept.
Which languages are supported?Accuracy in your language matters more than template count.
Are premium styles extra? Some templates may require a higher tier.
How does cancellation work?Auto-renewal and annual billing change the real cost.
Can you edit words and timing?Fixing errors should not require another tool.
Where does rendering happen?Cloud rendering may mean upload time; browser rendering depends on your device.

Usage patterns

Occasional creator — a few videos a month, or bursts around launches. Pay-per-export usually wins: no cost in quiet months, no renewal to cancel.

Consistent poster — several videos a week. Run the break-even maths with real prices. A subscription may be cheaper if you'll actually use it every month.

Agency or team — many videos for clients. Look at team features, brand presets and invoicing as well as unit cost.

Hidden costs to check

  • Annual billing shown as a monthly figure.
  • Currency conversion and foreign-transaction fees from your bank.
  • Auto-renewal after a free trial.
  • Re-exports. If fixing a typo counts as a new export, budget for it.
  • Your time. A cheaper tool that needs extra correction work isn't cheaper.

How CaptionLabs prices exports

CaptionLabs is pay-per-export with no subscription and no auto-renewal. Outside India, a standard export is $3 and a Pro FX export is $5, charged in US dollars through PayPal; in India it is ₹29. You top up a wallet and each finished export uses one credit, and larger top-ups can come with a discount. Transcription, editing and drafts are free; you pay only when you export a watermark-free MP4. Full details are on the pricing page.

It may not be the right fit if you need SRT/VTT caption files, team workspaces, or very high monthly volumes where a flat subscription works out cheaper.

Comparing specific tools

If you are comparing CaptionLabs with a particular subscription tool, check that tool's current pricing page and run the break-even sum above. We've written comparison pages for Submagic alternatives and Captions.ai alternatives.
